Terms & conditions.

These Terms & Conditions set out how membership of the BDSI Clinic Membership Plan (“the Plan”) works. The Plan is run by BDSI Clinic, Staple Hill, Bristol (“BDSI Clinic”, “the Practice”, “we”, “us” or “our”). Joining the Plan means you (“the Patient”, “you” or “your”) accept these Terms & Conditions.

The Plan is our own in-house membership scheme. It exists so patients can pay for routine preventive dentistry in affordable monthly instalments and enjoy extra member benefits for as long as their membership stays active. It is not an insurance policy, and it does not cover care received anywhere other than BDSI Clinic.

1. The two plans

Flex Essential — £18 a month. Includes 2 routine examinations and 2 routine hygiene appointments in each membership year.

Flex Enhanced — £30 a month. Includes 2 routine examinations and 4 routine hygiene appointments in each membership year.

A membership year lasts 12 months from the day your membership starts, unless we confirm something different to you. Membership belongs to the named patient only; it cannot be swapped, shared, gifted or used by anybody else.

2. What members receive

Provided your membership is live and your payments are up to date, you also get:

  • 10% off further treatment carried out at BDSI Clinic, cosmetic dentistry included, subject to these Terms & Conditions;
  • no online booking fee on eligible bookings made while you are an active member;
  • the examinations and hygiene visits that come with the plan you picked;
  • the ability to budget for routine preventive dentistry month by month; and
  • continuity of preventive care and treatment planning with the BDSI Clinic team.

3. What is not covered

Unless we confirm otherwise in writing, your monthly fee pays only for the routine appointments listed in your chosen plan — it is not a payment towards other dental treatment.

Work such as fillings, crowns, bridges, dentures, root canal treatment, extractions, implants, orthodontics, cosmetic dentistry and other restorative or elective care is charged on top. Where it qualifies, we apply your 10% member discount to that treatment when it is carried out at BDSI Clinic.

Care delivered by an outside dentist, specialist, laboratory, hospital or any other third party falls outside the Plan unless we specifically agree otherwise. Prescriptions, medicines and other third-party charges are also excluded unless stated. Your clinician will talk you through recommended treatment and its cost before going ahead wherever it is reasonably practical to do so.

4. Monthly payments

Membership is paid monthly by Direct Debit, collected through our payments provider, GoCardless.

Setting up your Direct Debit authorises collection of your monthly membership fee from the bank account you nominate. Please keep those details current and make sure funds are available on each collection date. If someone else pays on your behalf, responsibility for the payments still rests with you.

GoCardless only handles the collection of money. Your membership agreement itself is between you and BDSI Clinic.

5. If a payment fails

Member benefits depend on payments being current. Should a Direct Debit fail, we may get in touch and/or re-present the collection. If the amount stays unpaid, BDSI Clinic may:

  • pause your membership benefits;
  • withdraw the member discount;
  • charge our standard private fee for any outstanding treatment;
  • end your membership; and/or
  • ask you to settle any sums properly owed to the Practice.

6. Using your included appointments

Included examinations and hygiene visits need to be used within the membership year they relate to. All appointments depend on availability and must be arranged through our normal booking process.

Booking and attending your appointments is your responsibility. We may send reminders as a courtesy, but the responsibility remains with you.

Appointments you do not use hold no cash value, cannot be given to another person and do not automatically carry over into the next membership year. Not using everything included in your plan does not entitle you to money back or a reduced monthly fee.

7. Late cancellations and missed visits

Our usual cancellation and non-attendance policy applies to every appointment. If you do not turn up, or cancel with less notice than the Practice requires, we may count the appointment as used and/or apply a charge in line with the policy in force at that time.

Being a member does not exempt you from those rules.

8. Clinical care

Membership does not mean you will be suitable for any particular treatment. Everything remains subject to proper assessment, diagnosis and the professional judgement of the clinician treating you.

Joining the Plan creates no entitlement to treatment a clinician regards as unsuitable, unnecessary or inappropriate. Services included in the Plan may be delivered by any suitably qualified dentist, hygienist, therapist or other member of our dental team.

9. The 10% member discount

The discount applies only where all of the following are true:

  • your membership is active;
  • your payments are fully up to date; and
  • the eligible treatment is provided at BDSI Clinic.

10. Online booking benefit

Active members are not charged our standard online booking fee on eligible online bookings. The benefit lasts only while membership is live and payments are current. Once membership ends, our normal booking fees and terms apply to any future appointment.

11. Ending your membership

To cancel, contact the Practice by phone, email or any other contact route we publish.

Wherever possible, speak to us before instructing your bank to stop the Direct Debit, so we can close your membership account properly and tell you about anything still outstanding. Cancelling at the bank does not clear membership fees or treatment charges that fell due before your membership ended.

Please note — your place on the Plan: cancelling means giving up your membership place. We do not hold places open. Rejoining later is not guaranteed; it depends on availability, on us accepting your application, and on the plans, benefits and prices we offer at that time.

Ending membership does not stop you asking to remain a private, pay-as-you-go patient here, subject to us being able to take you on and to appointment availability.

12. What happens once membership ends

From the date membership ends:

  • future collections stop in line with the cancellation arrangements;
  • any unused plan appointments are forfeited;
  • the 10% treatment discount no longer applies;
  • the online booking fee waiver no longer applies; and
  • further appointments and treatment are charged at our standard private fees unless we agree otherwise.

13. Cancellation by BDSI Clinic

We may suspend or end a membership where there is a reasonable reason to do so — for example unpaid membership fees, other sums left outstanding, a material breach of these Terms, withdrawal or substantial change of the Plan, the Practice no longer being able to offer it, serious or repeated breaches of Practice policy, an irretrievable breakdown in the professional relationship, or a decision that we can no longer continue to provide your care.

We will give reasonable notice wherever we can. Nothing here affects our professional duties around the safe and appropriate delivery of dental care.

14. Changes to fees

Membership fees may be reviewed from time to time. We will give you reasonable advance notice of any increase, and you are free to cancel before it takes effect if you would rather not continue.

15. Changes to these terms

We may update these Terms & Conditions, for instance to reflect changes to the Plan, to Practice policy or to legal and regulatory requirements. The current version is the one published by the Practice, and continuing your membership after an update means you accept the revised terms.

16. Start of membership

Membership begins once your application is accepted and your Direct Debit has been set up successfully. We will confirm your start date and, where relevant, when your first collection will be taken.

17. Your responsibilities as a member

By joining, you agree to:

  • keep your payments up to date;
  • give us accurate, current contact and payment details;
  • attend appointments you have booked, or cancel with the notice we require;
  • follow reasonable clinical advice about your oral health;
  • tell the dental team about any relevant change to your dental or general health;
  • pay for treatment and services that sit outside your membership; and
  • respect the Practice's reasonable policies.

18. Your information and GoCardless

We handle your personal information in line with data protection law and our Privacy Policy. Details needed to set up and run your Direct Debit may be passed to and processed by GoCardless and the relevant banking or payment providers.

GoCardless processes payment information under its own privacy terms. Clinical information is only ever shared where there is a proper lawful basis for doing so.

19. The Direct Debit Guarantee

Direct Debit payments are covered by the Direct Debit Guarantee, which protects you if a payment changes or a collection is taken in error.

You can cancel a Direct Debit instruction through your bank or building society at any time. Doing so does not remove your obligation to pay amounts properly due under your membership, so if you want to end your membership please also contact BDSI Clinic directly.

20. Complaints

If something about your membership, care or treatment falls short, please raise it with us first. We handle complaints under the Practice complaints procedure, a copy of which is available on request and published on this website.

21. Membership cannot be transferred

Membership is personal to you and cannot be sold, assigned or passed to another patient. Benefits can only be used at BDSI Clinic and cannot be redeemed at any other practice or provider unless we agree otherwise in writing.

22. Availability of places

Membership places may be limited, and we reserve the right to close the Plan to new or returning members once capacity is reached. Having been a member previously gives you no priority over other patients if you later apply again — which is why cancelling means letting go of your place.

23. Liability and your statutory rights

Nothing in these Terms excludes or limits liability where it would be unlawful to do so, and nothing affects your consumer rights or our obligations as a regulated dental provider.

The Plan is simply a way of providing and paying for specified dental services and benefits. It is not a substitute for the clinical judgement of your dental team.

24. General

If any part of these Terms turns out to be invalid or unenforceable, the rest continues to apply. If we do not enforce a provision straight away, we keep the right to enforce it later.

These Terms, together with the plan information given to you and the Practice policies referred to here, form your membership agreement with BDSI Clinic.

25. Governing law

These Terms are governed by the law of England and Wales. This does not affect any consumer rights you may have concerning where proceedings can lawfully be brought.

Membership acknowledgement

By joining the BDSI Clinic Membership Plan, you confirm that you have had the opportunity to read these Terms & Conditions and agree to be bound by them. You also acknowledge that:

  • the Plan is an in-house membership scheme, not dental insurance;
  • treatment outside your chosen plan is charged separately;
  • monthly payments are collected by Direct Debit through GoCardless;
  • benefits apply only while membership is active and payments are up to date; and
  • cancelling or otherwise ending membership means giving up your place on the BDSI Clinic Membership Plan, with any future application subject to availability and to the terms and prices in force at that time.
